Apptimized SafeBox User Manual Introduction Glossary Apptimized  provides a special  Glossary  section containing all the abbreviations and specific terms concerning  Apptimized   SafeBox .   Name  Description  SafeBox   SafeBox  enables a user to run an operating system within  a  cloud-base d  virtual  environment. The following  SafeBoxes  sizes are available:   S –  SafeBox with 2 CPU & 4 GB RAM; M –  SafeBox with 2 CPU & 8 GB RAM;   L –  SafeBox with 4 CPU & 16 GB RAM.   Single  sign - on  ( SSO )   A n  authentication technology  enables an  Apptimized  user to secure ly  log in with single credentials to  any   Apptimized  solutions or services he has a subscription.  SSO can be reached by entering the link:  https://auth.apptimized.com   Administration management portal   The a dministration  management portal includes  an  Organization Management application – which enables a user with an interface to manage organization  configurations  a nd  manage users an d  monitor  subscriptions  within the organization.  The a dminist r ation  management portal is available at  https://admin.apptimized.com . Billing   The  S afeBox   billing model  is pay-as-you-go. User pays for  SafeBoxes , depending on their size – S, M, or L and how many  SafeBoxes  operat e. There  are   no  monthly  recurring  fees  if  SafeBox   is  not being used.  SafeBox  bills at the  beginning of the month, o nly  for used  SafeBoxes  during the previous month. The count starts after  the  provision of  SafeBox .   Dashboard   An o rganization  dashboard  i s a  graphical user interface that  provides at-a-glance views of key  SafeBox  performance indicators relevant to a particular  organi z ation  or project.   SafeBox  statuses   Each status indicates the  state   of the  SafeBox . The  following  statuses available:   Pending; Downloading; Starting; Running;   Saving; Resuming;   Suspended;   Terminating;   Terminated.   Report   D etailed information about the  SafeBox   consumption  with an  option  to download in CSV format.   Image   A single file  is   typically  made through a sector-by-sector replication of the source medium to create a copy (clone the structure and contents) of a hard disk to be later used for disk  back up, restoration ,  or copying to a virtual machine.   Snapshot   A captured state of a system in a particular time point  is  usually used as a  back up copy or as a basis to troubleshoot issues.   On-boarding Log in Apptimized   SafeBox  is available at  https://box.apptimized.com .   Before starting the  Apptimized   SafeBox  application, it is recommended to check the list of prerequisites and firewall rules  available by the  link -  Prerequisites and firewall rules . Apptimized   SafeBox  supports login via single sign-on (see Single Sign-On ). Apptimized  creates  a  default  project automatically ( i.e.,  Initial  Project )  after the user logs in  a  system   for   the   first time .   Instructions on  creating a project are   available   in   the chapter  Create project .   In  the  case of a user  being   assigned to a  project,  Apptimized  shows the  Project list page  screen:   Only the Organization manager user role has permissions to assign users to a project. Apptimized SafeBox user experience The following scheme shows SafeBox's user workflow (both for the existing and new user): Apptimized Welcome Email Upon completion of the purchase process of Apptimized SafeBox via www.apptimized.com a user receives the following email: User's login credentials and link to SafeBox quick guide will be provided in the email. Apptimized SafeBox settings The option to access the SafeBox settings is available under the  Settings  tab: SafeBox settings tab provides options Terminate user session , enable Traffic logging and change the Color scheme . The organization manager can configure automatic session termination after a specified period of inactivity.  If Terminate user session after X minutes of inactivity value greater than 0 all users in organization will see timer with countdown until session interruption. If the user does not perform any actions on the site, their session will be interrupted. To continue working with the SafeBox, the user will need to log in to the system again. Traffic logging feature allows gather HTTP traffic on VM. If value for Traffic logging enabled is set to Yes , SafeBox creates .pcap file with network traffic in VM folder during VM creation.   To reduce .pcap file size it will be converted to plain text file with filtered IP packets . The example of such a log file is shown in a picture: In the event of a security incident or policy violation, traffic logs can provide crucial evidence to investigate and resolve the issues. Apptimized can save traffic log files for 12 months and provide logs at the consumer's request. SafeBox  settings tab provides an option to change the  SafeBox   Color scheme . The option is available by clicking on the  Color  scheme  block :   Apptimized  provides the following scheme to change the  color :   The Scheme allows  the  User to select  colors  from a  color  picker.   T he option t o submit changes  is  available  by  click ing   Submit .  Apptimized  provides the following notification when successful:   The  option  to revert to  [Organization name] dashboard  is available under the  Cancel  button.   Apptimized Support widget The option to access the Apptimized Support is available by clicking the button: The button is available on every page of the  Apptimized   SafeBox .   Apptimized  show s  the following screen when successful:   The support chat widget allows   creating  support request s  about  Apptimized   SafeBox  features, configuration, customization options ,  and the product itself.  S upport is available 24/5 on business days.   Organization management About Organization Management Organization Management application enables a user with an interface to manage organization configurations (i.e., organization information, security settings, white  labeling )  and  manage users and monitor subscriptions within the organization.   The  Organization Management  application is available  u nder the  https://admin.apptimized.com . Before starting the organization's configuration  management, signing in the   SSO application   is required.    The o rganization  manager can add, delete,  edit  and monitor user’s subscriptions under the  Users tab .   The  Organization tab  enables a user to set the state of the organization in the system (I.e., enable or disable),  configure white  labeling  components, edit the organization’s information, set up security settings, and manage subscriptions (see Organization dashboard ).     Organization dashboard The organization dashboard  is available under the   [ Organization Name ]  tab .   Apptimized shows the following screen when successful: Organization dashboard enables a user to track and manage the following indicators: track   consumption  statistics  of the  SafeBoxes   within the  organization   (see  Dashboard  >  SafeBoxes consumption  tile ); manage  SafeBoxes ,   i.e.,   manage  status, lifetime ,  and size parameters  (see  D ashboard  >  SafeBoxes tile ); m anage u sers  within the  organi z ation  ( see  Das h board  >  Users  tile ); manage p rojects  within the  organi z ation  (see  Dashboard  >  Projects  tile ) .     Safeboxes consumption tile SafeBoxes  consu m ption tile enables a user to  track statistics  of created  SafeBoxes   by types  per last 10 days.   The following  SafeBoxes  types  available:   S (2 CPU, 4 GB RAM); M (2 CPU, 8 GB RAM); L (4 CPU, 16 GB RAM). Users tile Users  tile  enables to   manage u sers  (view, edit ,  and monitor)  in the organization.   The Users tile is  displayed   in  2 blocks:   Information block – this block contains detailed information about  u sers in the organization; Actions - this block  enables a user  to manage  users  assigned  to the organization .   Users  data is grouped into the following categories: Category  Description  User   Indicates the name of the User’s account. Role   Provides with the actual user’s role and permissions assigned to  (see   User role types and permissions ). SafeBoxes   Indicates the  SafeBoxes  shared with the user.  SafeBoxes category is grouped in Running and Suspended counters. Users  actions are grouped into the following categories:   Edit  – enables a user to enter  the  Edit user section; Logs  – enables a user to enter  the  Users log  section. T he option to  enter  the  general Users section  is  available  by  click ing  See  more : The total amount of  users counter is available under the Users tile : SafeBoxes tile   SafeBox tile enables a user to   manage  SafeBoxes  (open, resume ,  add, edit,  resume and delete) (see Manage SafeBox ) .   The SafeBox tile is performed in 2 blocks:   Information block – this block contains detailed information about  SafeBoxes; Action block – this block provides options to operate with the  SafeBoxes .   SafeBoxes  data is grouped into the following categories: Category  Description  Name   This category i ndicates the name of SafeBox. Content is performed by the following template :  [SafeBox name]  [Project name].   Badge   Shared  indicates whether the SafeBox is shared with other  users. Status   This category i ndicates the current state of SafeBox (see Status in Glossary ). Lifetime    This category i ndicates the information on how much time a certain SafeBox  is  in  use. Suspension    This category in dicates the information after what time the SafeBox will be suspended (paused). Termination   This category i ndicates the information after what time the SafeBox will be terminated (deleted with all data). Size    This category i ndicates a  type  of SafeBox  was  created   with  (see  Glossary   > SafeBox definition). SafeBoxes  actions are grouped into the following categories (see Manage SafeBox ):   Open; Resume; Edit; Renew; Delete. T he option to  add SafeBox via the Project dashboard  is available by  click ing   + Add new   ( see  Create SafeBox )  button in the  SafeBoxes  tile:   T he option to  enter  the  general SafeBox  section  (see  SafeBox overview )  is available by  click ing   S ee more   in the  SafeBoxes  tile:   SafeBox tile counters The SafeBox   counters are performed under the  SafeBoxes   tile. The following counters available: Icon  Counter  Details  Total   Indicates the total amount of  SafeBoxes. Running   Indicates the total amount of  SafeBoxes in Running status. Suspended   Indicates the total amount of  SafeBoxes in Suspended status.   Terminated   Indicates the total amount of  SafeBoxes in Terminated status. Note . User counter available at the project dashboard indicates SafeBox only within the project they exist. Projects tile Projects  tile enables a user to  manage projects within the organization  (i.e.,  redirect to  project ’s  dashboard,  edit and delete projects) .   Projects  tile is performed in 2 blocks:   Information block – this block contains detailed  information about SafeBox projects; Action block – this block provides options to interact with the SafeBox projects.   Projects  data is grouped into the following categories: Category  Description  Name   Indicates the Name of the project. Images   Images – indicates the quantity of the images assigned to the project.   SafeBoxes   Indicates the quantity of the  SafeBoxes assigned to the project. Users   Provides with the counters of the Users assigned to the project. Project actions are grouped into the  following  categories:   Dashboard  - enables a User to enter  the  Project dashboard (see Project dashboard ); Edit  -  allow s  a User to enter  the  Edit project section (see Edit project ); Delete  - enables a user to enter Delete project modal windows (see Delete project ). The following User counters are available: Icon  Counter  Details  Total Indicates the total amount of users with all roles assigned to the project. Admins   Indicates the number of users with the Project manage r role or above assigned to the project.     Users   Indicates the total amount of users with the Project user role assigned to the project. The total number of Users counter  is available under the Projects  tile. See more  button enables a user to enter general Projects section.   Add new  button allows user to enter  Create new project   page .   SafeBoxes consumption report The  SafeBoxes  consumption report is available under the  Reports   tab. Apptimized shows the following screen when successful:   Column name  Details #   An   index number of the entry in the Reports tab.   Name   T he  name  of  a  SafeBox  that was  set up at the creation step.   Image   This column indi cates  the OS  image  a   SafeBox was  created with  (e.g.,  Linux Mint ) .   Size   This column indicates  the   size of SafeBox  created .   The following sizes  available: S (2 CPU, 4 GB RAM); M (2 CPU, 8 GB RAM); L (4 CPU, 16 GB RAM).   Status   This column  indicates the current state of SafeBox.   The following  statuses of Sa feBox  available:   Pending;   Downloading; Starting; Running; Saving;   Resuming;   Suspended; Terminating; Terminated.   Created by   This  column  provides  the information  o f  a creator  of a  S afeBox  (e.g.,  John Doe ) .   Created on   This column provides  information on  when  a  SafeBox was created.   Time and date format depends on the  timezone   a user  is  set  up in SSO.   Terminated on   This column provides  information on when a SafeBox was terminated.   Time and date format depends on the  timezone  a user set up in SSO  (https://admin.apptimized.com/) .   Lifetime   This column  provides  information on  how much  time a certain SafeBox  was in use.     SafeBox forms a c onsu mption report   monthly .   A  report is  creat ed  for the  current month  by default.   The option  to  c hange  a  month  in  the report is available  under the  Month   field >   Select month from the drop-down >  Filter   button . Users  data is gro u ped into the following categories: Сategory  Description  Name   Indicates the unique name of the user. Email   Indicates the email of the user. Organi z ation   Indicates the organization user has been assigned to. SafeBoxes   Indicates the quantity of  SafeBoxes  user has  b een granted access to. Users  actions are grouped into the following categories :   Edit  - enables a user to enter Edit user section (see  Roles management ); Logs  -  allow s a user to enter User’s logs page (see User’s logs). The SafeBox total counter enables a user to monitor the total amount of  SafeBoxes user has been granted access to. The  Search field  allows user to search for users by any  keywords. The  Manage users  button enables a user to navigate to  the  user's  management page  (see  Organization management ). Roles management The Organization Manager role grants automatically after purchasing the SafeBox. A user can be granted the Project manager & User roles by the Organization  Manager. Date   Indicates the exact date of the action produced by the user. Action   Indicates the URL address of the SafeBox page with which the user interacted.   Result   Indicates whether the action was successful or unsuccessful. The following results available:   OK – indicates that the action user interacted  with  was successful; Failed – indicates that the action user interacted  with  was unsuccessful.   IP   Indicates the User’s IP.   User Agent   Indicates  the user’s browser  produced  the action.     Project assignment The  option  to assign  a  user to   a proj e ct is available under the  Edit project   section (see Edit project ) .   Project members  section allows  assigning  Users to a project.   T he option to assign  a  user to a project is available by  clicking  on   the  User account .    The  following buttons for assignment available: Button   Description   This button allows  assigning  all the available user accounts.   This button allows to unassign all the assigned user account s.   Apptimized  shows the following screen when successful:   T he  o ption to  save the settings  is available  under the   Submit   button .    Apptimized shows the following notification when successful: The option to revert to  the  Projects  page is available under the  Back  button.   Safebox sharing The  option  to share a SafeBox  with  a user  is available under the   Edit   SafeBox  section  (see Edit  Safebox ) .   Project management Project dashboard The following scenarios to open the Project dashboard available:   Header >   [ Organization  name]  >   P roject s   tile   >  Select a project   >  Actions  button  >   Dashboard ; Header >  Projects   tab   >   Projects  page >  Select a project >  Actions  button >  Dashboard . Apptimized shows the following screen when successful: The Project dashboard contains the  SafeBoxes   tile and the  Users  tile.   T he option to  edit the project  is available by  click ing   Edit   button  (see Edit project ).   Safebox tile   SafeBox tile enables a user to  manage  SafeBoxes  ( open,  res ume ,   add, edit,   and delete ) .   The  description is available under the  Organization dashboard > SafeBox tile   (see Organization management ).     Users  tile Users  tile enables to  manage  Users ( view, edit ,  and monitor ) .   The description is available under the  Organization dashboard >  Users  tile  (see Organization management ).   Project section The general project section is available under the  Projects  tab.   Apptimized shows the following screen when successful: Projects are created to structure work and properly delineate areas of responsibility for performing work tasks .   The p roject section is  displayed  in 2 blocks:   Information block – this block contains detailed information about SafeBox projects; Action block – this  bl ock provides options to interact with the SafeBox projects.   Projects  data is grouped into the following categories :   Category  Description  Name   Indicates the Name of the project.   Images   Indicates the quantity of the images assigned to the project.   Users   Provides with the counters of the Users assigned to the project.   Projects actions are  grouped  into the following categories: Category  Description  Dashboard   Enables a  u ser to enter  the  project Dashboard section (see Project Dashboard ). Edit   Enables a  u ser to enter  the  Edit project section (see Edit project ). Delete   Enables a user to enter Delete project modal window (see Delete project ). There is no limit on the number of projects.   Apptimized shows the following screen when successful:   The  Create new project  section is divided into several blocks:   Field  Description  Choice  Required  Name   T his  field indicates the Name of the project. There is no default value for this field.   n/a   +   Project members   Th is   field provides  a user  with  a  list of all members assigned to a  project . There is an o ption  to assign users to  the  project (see Project assignment ). There is no default value for this field.   Users created by the  Organization manager   (see Organization management > Add a user )   -   Images for project   Th is  field indicates the  list  of   OS  images  that can be assigned to a project.     The following OS images are available to a user by default:   Windows 10 x64 EN Windows 10 x64 DE Windows 11 x64 EN Windows 11 x64 DE Linux Mint -   T he option to save settings is available   under the   Submit   button .     Apptimized shows the following notification when successful:    The option to revert to the Projects   page is available under the  Back   button .   Edit project The following scenarios to  open   the  Edit project section  available :   Projects > [Project name] field > Actions > Edit ;   Project Dashboard > Edit [Project name] . Apptimized provides the following screen when successful:   A user granted the  Organization manager  role  can  create  changes  in  the  Name  section,  Project  members ,  and  Images for project  sections.   T he option to  s ave  changes  is available  under the  Submit   button .   Apptimized shows the following notification when successful:   The option to revert to  Projects  page is available under the  Back   button.   Delete project The following scenarios to open Delete project modal window available:   Header > [Organization name] >  Projects   tile > Select a project >  Actions  button >  Delete ; Header >  Projects   tab >  Projects  page > Select a project >  Actions  button >  Delete . Apptimized  shows  the following screen when successful:   The  SafeBox  general section is  displayed   in 2 blocks:   Information block  – this block contains detailed information about  SafeBoxes under the project; Actions – this block provides  functionality  to operate with the  SafeBoxes .   SafeBoxes  data is grouped into the following categories: Field  Description  ID   Indicates the index number of the SafeBox. Name   Indicates the  name given to the  SafeBox  when created . The Shared badge indicates that SafeBox  users  granted access to it.   Project   Indicates the project SafeBox assigned to.   Image   Indicates the name of the OS Image SafeBox based on.   Size   Indicates the key  technical parameters of SafeBox.   Status   Indicates the current state of SafeBox   ( See  Glossary to see all available statuses). Lifetime   Indicates a time range during which a SafeBox has been active. Lifetime starts with a SafeBox creation and finishes with its termination.   Suspension   Indicates   the   elapsed  time a SafeBox will be suspended (paused) automatically.   Termination   Indicates   the elapsed time  a SafeBox will be terminated (deleted with all data) automatically.   Owner   Provides information ( i .e., name, email)  of   a user who created a SafeBox.   Safebox  general section actions are grouped into the following categories (see Manage SafeBox ):   Open; Resume; Suspend; Edit; Renew; Delete. Create new SafeBox  button enables a user to enter  Create new SafeBox  section  (see Create SafeBox ) .   Only my  SafeBoxes   checkbox enables a user to check to filter results only with  SafeBoxes  created by the user.   The following  SafeBoxes  counters are available: Image  Counter  Description  Total counter   Indicates the amount of all  SafeBoxes  performed  o n  the  SafeBox page. Project counter   Indicates the  number  of Projects the  SafeBox es have been assigned to.   Image counter   Indicates the number of each created type (image) of SafeB o x. Apptimized provides the following screen when successful:   The  Safebox  screen  is divided into several sections. Section  Description  Screen  SafeBox   T he  sandbox environment in which non-standard workloads can be safely tested and run.   The downloading, p ending ,  starting, saving,  suspended ,  and terminat ing  statuses are displayed  in  the  cent er   of the screen.   Control   Th is block  provides a set of  control  buttons   to  manage  the SafeBox (see Manage SafeBox ).   Snapshots   This block provi des  a user  the following  functionality :   Create OS snapsho ts;   Delete OS snapshots; Revert  OS to a  particular   state. Snapshots not available to be created in statuses  that   differ  from the  Running  state.     Information   This block provides  the  details  about SafeBox (creator,  OS   image, project  name ,  and time of creation)  and the  default password  used to  access  SafeBox.     During the first time running  after creation,  the  Default Password  entering will be required to proceed with the SafeBox.   Apptimized provides  the  following screen when successful:   To change  the  default password in SafeBox  based on Windows images ,  a user proceeds the following flow:   Apptimized  shows the following screen when successful:   To change  the  default password in SafeBox based on  Linux Mint  images ,  a user proceeds the following flow:   SafeBox section The following hot keys are available: Icon  Name  Description  Special Keys   Allows users to manually use them in the  SafeBox  instead of clicking on the keyboard.   Ctrl + Alt + Del     Enables a user to enter Secure Logon.   This button is available under the  Special Keys  button. Windows   Allows  the  user to bring up the Start  menu. This button is available under the  Special Keys  button. Alt + Tab   Enables a user to switch between open  programs. This button is available under the  Special Keys  button. Audio input Enables a user to use microphone. Expanded mode   Allows to expand the SafeBox to the length of the screen. Detailed mode   Allows to exit the  Expanded mode . Fullscreen mode   Allows to extend the SafeBox screen to full screen. Special Keys  buttons can be accessed by clicking on  Special Keys  button .     T he option t o enter Secure Logon  is available under the  CTRL + ALT + DEL  button : T he option t o bring up the Start menu  is available under the  Windows  button :   To switch between open program s ,  a user proceeds the following flow:   The  Audio input is available under the  Audio input button   . By default, SafeBox does not use the user’s microphone. No audio input indicates that VM does not capture any audio. When Audio input clicked, SafeBox switches connection from server to VM directly. User should re-logon in the system. Audio input device settings are available under: · Control panel > Hardware > Sound > Recording . Browser requires user consent to use the microphone at this step. Snapshots section The  Snapshots  section allows preserving SafeBox state to return to the same state repeatedly. The option to create Snapshots is available under the  Capture state  button. Field  Description  Default value  Name   Thіs  field indicates the unique title of the SafeBox.   There is an opportunity to insert the SafeBox ID by clicking  the  SafeBox ID  button.   A user can  ignore the default SafeBox naming and   assign to   it  any meaningful na me .   This field is required.   By default ,   the system  auto matically assigns  a  name for  SafeBox  according to a template [ Sa feB o x %id% ]  (e.g.,  SafeBox  47). Project   This   field  empowers  a user to assign  a SafeBox   with  a  particular   project .     This field is required.   Initial  Project. Image   T his  field indicates  the list of virtual images for SafeBoxes that can be assigned to  a project.   This field is required.   The first selected SafeBox image at Project settings.   Size   This f ield   indicates  the predefined size of the SafeBox. The following sizes are available:   S (2 CPU, 4 GB RAM); M (2 CPU, 8 GB RAM); L (4 CPU, 16 GB RAM). This field is  required .   S (2 CPU, 4 GB RAM).   Description   T his  field indicates the text description for SafeBox to set up ( i .e. ,  purposes).    This field is not required.     Suspend automatically   Th is   option  enables  the  suspension   of  SafeBox  after 3 hours of inactivity.    This field is required.   Yes. Terminate automatically   Th is  option  enables the termination of  SafeBox  after 24 hours of inactivity.   This field is required.   No. Shared with users   The  Shared with  users   field allows  sharing  the SafeBox with the users assigned to the project (see  Edit SafeBox ). This field is not required.     The option to create the SafeBox is available by clicking  Сreate . The  Manage SafeBox  section includes the following options:   Resume  - allows to turn the SafeBox on from the   Sleep mode  (Suspend state); Edit  - allows to enter the  Edit  section of the SafeBox and update the information;   Reboot  - allows  restarting  SafeBox wi t hout saving state; Suspend  - allows to  s ave  the SafeBox  state and shut down the SafeBox; Delete  – allows  discarding the SafeBox; Renew  – allows to discard the SafeBox and start over from  a  different image .   Note.  The options appear depending on the current state of SafeBox. Note. If the access is not shared with the user, the following screen will appear: For User’s to receive  access  to the  SafeBox , the user must be  assigned  to the Project where  SafeBox  operates and   g ets   the sha red access  under the  SafeBox  settings in the  Shared with the user  option.   Billing Billing model To complete the SafeBox purchase, a user will proceed with the following steps: Apptimized SafeBox Billing Portal SafeBox Billing Portal enables a user to: View and edit account information, including: First/Last Name, email, and company; View and edit payment methods and credit card details; View billing history and download invoices; Cancel user subscription to SafeBox. The option to access the Billing Portal is available under the Header > . Apptimized shows the following screen when successful:   To access the  billing portal ,  a user proceeds the following flow:   Note . The  one-time  password  is  sent  automatically to the email address  the  User has been registered with.  The one password sample contains six numbers.  It  is valid for 5 minutes from the time it is generated. There are no limitations  on resending to the email .
